Planning event arrivals and return travel
Prepare the venue entrance, passenger contact, luggage and return pickup for a clear event travel plan.

Event travel has two practical parts: getting the travelling party to the right place, and giving them a clear plan for the journey home. Prepare both legs before booking, including the venue entrance, lead passenger, luggage and any item that needs more space.
Use the entrance the passengers will actually use
A venue name may not identify the correct arrival point. Record the full address and, where known, the entrance or pickup place intended for the travelling party.
For a large site, confirm the practical location with the organiser or venue information before travel. Do not assume that the main postal address is the only usable entrance.
Keep the organiser and traveller roles clear
State who is arranging the journey and name a lead passenger whose mobile number will be available around pickup. Give the traveller the confirmed time, location, booking reference and contact route.
If the organiser will not attend, the person travelling still needs enough information to find the vehicle and report a material change.
Count passengers, luggage and event items
Choose the representative vehicle class using everyone travelling and everything moving with them. Coats, garment bags, presentation equipment, mobility aids or other items may need more room than a standard case.
Tell Customer Care about bulky or unusual items before travel. Vehicle makes and models are representative and supplied on an “or equivalent” basis.
Book the return as a real journey
Confirm the return pickup place, date, time, passenger count and destination. Do not assume that the return will begin at the arrival entrance or carry the same travelling party.
If the finish time is uncertain or several groups will leave separately, contact Customer Care with the proposed plan instead of combining different movements into one unclear request.
List several movements in order
For staggered arrivals, several vehicles or more than one return, write each journey leg separately. Include the passenger group, pickup, destination and time for every movement.
One current itinerary gives the organiser, travellers and team the same reference point.
Wait for confirmation of changes
A revised event time, pickup place or passenger list remains a request until the updated arrangement is confirmed. Share the latest confirmed version with the lead passenger and organiser.
Check every affected leg after an amendment rather than changing one note and assuming the rest of the plan still fits.
Practical checklist
- Record the full venue address and intended entrance.
- Name the organiser and a reachable lead passenger.
- Count passengers, bags and event equipment.
- Confirm the return pickup as a separate journey.
- List staggered movements and vehicles in order.
- Share only the latest confirmed itinerary.
