Airport transfer booking checklist
Prepare the terminal, flight, timing, passenger, luggage and contact details needed for a clear London airport transfer booking.

An airport transfer is easier to arrange when the route, terminal, time and travelling party are precise from the start. Before requesting a price, collect the information below and check each journey leg independently. The aim is not to predict the airport on the customer’s behalf; it is to give the booking and Customer Care team accurate details that can be reviewed before payment and used for the confirmed journey.
Confirm the direction and exact airport
Decide whether the vehicle is collecting from the airport or taking passengers to it. Select the exact airport and terminal returned by the location search where that information is available. Heathrow Terminal 5 and Heathrow Terminal 2, for example, are not interchangeable destinations.
For a return, enter the later date and time separately and read both directions back before continuing. Do not assume the return is simply the outward journey reversed if a hotel, office or passenger changes.
Use the itinerary to check the terminal
Airlines and terminals can change. Use the current airline itinerary and the airport’s official terminal information before booking and again before travel. Avoid relying on an old confirmation, a previous trip or an unofficial search result.
Savoy Executive does not publish a fixed terminal meeting point in this guide. Follow the confirmed journey information and any direct pickup communication supplied for the booking.
Enter date, time and flight number carefully
Check the local pickup date and time, especially for overnight flights that arrive on the following calendar day. Add the flight number when it is relevant to an airport pickup so it stays with the journey details. The field records the information supplied; it should not be treated as a promise of automated flight tracking.
Count passengers and luggage together
Include everyone travelling on that leg and count the standard check-in bags requested by the form. Identify pushchairs, mobility equipment, sports equipment or unusually large items separately. Review contact and journey information
Use contact details that will be available around the pickup. Before payment, read the route, terminal, date, time, flight number, passengers, luggage, selected vehicle class and full journey total. Correct anything that is unclear before continuing.
For airport pickups, the currently approved Savoy policy includes 60 minutes waiting from actual flight landing and Meet & Greet. Contact Customer Care before travel if more time or an involved arrangement is expected.
Be precise at the non-airport address
Enter the complete hotel, home, office or venue location returned by the address search. Large sites can have several entrances, and similarly named streets may be far apart. The booking should make the intended location clear without placing access codes or sensitive information in a general enquiry.
For a departure to the airport, check that the pickup is the place where the travelling party will actually be ready. For an arrival, confirm the destination and any essential access information through the appropriate contact route before travel.
Plan airport departures around the full process
A drop-off time is not the same as a flight departure time. Customers remain responsible for deciding when they need to reach the terminal, taking account of current airline guidance, check-in, baggage and security requirements. Savoy Executive should not be asked to invent that margin or guarantee an airport process.
Once the required terminal-arrival time is understood, choose the pickup time with appropriate allowance for road conditions. No road journey time should be treated as fixed, particularly during busy periods or disruption.
Coordinate the travelling party before pickup
Choose one lead passenger whose contact details will work on the day and make sure everyone knows the confirmed terminal and time. If passengers are joining from several addresses, treat each movement clearly instead of hiding it in a note attached to a different route.
Families and groups should decide who is responsible for the flight documents and who will be reachable after landing. That simple handover helps avoid conflicting messages when the party is moving through arrivals.
Handle changes as changes, not assumptions
If the airline changes the flight number, terminal or travel date, contact Savoy Executive with the booking reference and corrected information. Sending a change does not by itself confirm that the journey has been amended; rely on the updated confirmation or direct response.
Recheck every leg after an amendment. A revised arrival may affect the pickup date, terminal, passengers or onward address, and changing one field should not leave the rest of the journey inconsistent.
Make a final pre-travel check
Shortly before travel, compare the current airline itinerary with the confirmed chauffeur journey. Check the flight number, airport, terminal, date, lead-passenger contact and destination, then make sure the travelling party has the same information. This is particularly useful when the booking was made weeks in advance.
Keep the booking reference accessible without relying on one device or an inbox that may be unavailable while roaming. If anything material differs, use the confirmed contact route and allow time for the amendment to be reviewed.
