This notice explains how Flexi Fares Ltd, trading as Savoy Executive, collects and uses personal information when you use Savoy Executive’s website, request a quote, make or manage a booking, contact the team or send an initial driver application.

Who controls your information

Flexi Fares Ltd, trading as Savoy Executive, is the controller for the Savoy-owned website, enquiry and initial driver-application information described here.

The licensed booking system remains authoritative for availability, prices, booking status and transactional booking records. Stripe handles card-payment details through its hosted payment service; Savoy WordPress does not receive or store your full card number.

Information collected

  • Quote and booking details: name, contact details, pickup and destination, dates and times, passenger and luggage counts, vehicle class, flight number where supplied, booking reference and booking status.
  • Payment records: amount, currency, payment status and processor reference. Full card details are entered into Stripe, not the Savoy website.
  • Enquiries and support: the details you provide, the content of the message and any booking reference included.
  • Initial driver applications: contact details, professional driving experience, vehicle access, availability and the application message. The initial form does not request identity, licence or payment documents.
  • Technical and security information: IP address, browser/device information, server and security logs, and information required to protect the site and keep a requested booking session working.
  • Location-service information: searches and route locations sent to Google Maps/Places/Routes when you use location search or journey maps.

Please do not send full card details, identity documents or licence documents through the public Contact, Customer Care or initial driver-application forms.

Savoy does not currently use the public website for automated decisions with legal or similarly significant effects.

Who receives information

Information is shared only where needed for the purposes above, including with:

  • the licensed Quantica chauffeur booking system and Savoy’s WordPress/hosting providers;
  • Stripe for hosted card payment, payment status and fraud prevention;
  • Google Maps/Places/Routes for requested location search and route functions;
  • email and transactional-notification providers;
  • the assigned chauffeur or transport provider where necessary to perform a confirmed journey;
  • professional advisers, insurers, regulators, law-enforcement bodies or courts where required or reasonably necessary.

Savoy does not sell personal information. Supplier access must be limited to the service being provided and governed by the relevant contract and data-protection terms.

How long information is kept

The 12-month enquiry and application periods are approved policy targets.

Your data-protection rights

Depending on the circumstances and the lawful basis, you may have rights to be informed, access your information, correct inaccurate information, request deletion or restriction, receive portable information, and object to certain processing. Where processing relies on consent, you may withdraw that consent.

Your right to object: you may object to processing based on legitimate interests. Savoy will consider the request and whether there are compelling legitimate grounds or legal reasons to continue.

To exercise a right, email info@savoyexecutive.com. Savoy may need proportionate information to confirm identity and locate the relevant record. These rights are not absolute and exemptions may apply.

Security and international processing

Savoy uses access controls, restricted administrative permissions, secure connections and provider security controls appropriate to the commissioned website. No internet service can guarantee absolute security, so customers should avoid sending unnecessary sensitive information through public forms.

Stripe, Google and other technology suppliers may process information outside the United Kingdom. Where a restricted transfer occurs, the responsible organisation must use an approved transfer mechanism or other lawful safeguard.

Children and passenger information

The website is intended for adults arranging transport. A person making a booking may provide limited information about other passengers where needed for the journey. The person making the booking should ensure they are authorised to provide that information and should avoid providing unnecessary information about children or other passengers.
