Wedding planning guide

Planning transport for wedding guests

Bring the origins, arrival times and return journeys together before choosing vehicles.

Updated

A useful wedding transport plan starts with the people travelling: where they are coming from, when they need to arrive and where they will go afterwards.

Guests may be arriving from airports, hotels, homes and railway stations. Bringing those journeys together early helps you identify which can be coordinated and which need separate arrangements.

01

Start with where everyone is coming from

Group guests by airport, hotel, home or other location, and railway station. Note wedding-party roles where arrival times differ. The transport plan starts with origins, not vehicles. You do not need a final vehicle list before you can begin gathering this information.

02

Work backwards from when people need to arrive

Ceremony time alone is not the pickup time. Agree a venue arrival target, then consider unloading, walking or access time, group coordination and road variability. For airport arrivals, allow for baggage and immigration before guests are ready to leave. Choose margins for the actual journey rather than applying one universal allowance.

03

Group compatible journeys

Not everybody needs their own vehicle. Guests with similar origins and timings may be grouped where appropriate. Conversely, do not force guests with materially different arrival times into one movement plan. Consider luggage as well as passenger numbers when discussing vehicle options.

04

Plan the end of the night first

Agree the departure time with the venue, decide who is staying and who is leaving, and plan returns around those timings. Check the last trains rather than assuming they run late, and arrange any required vehicles in advance rather than relying on taxis being available. Several return waves may be more practical than one departure. Share pickup information and keep the organiser and transport contact in touch on the day.
